Spring isn’t just for closets and classrooms, your QuickBooks Online file could probably use a little dusting, too.
This time of year is ideal for cleaning up the parts of your bookkeeping that tend to get messy when you’re focused on day-to-day operations. Here are three quick wins that can make your books cleaner and your reports sharper, without needing a whole weekend to do it.
1. Archive Old Vendors and Customers
If you’re still scrolling past names you haven’t worked with since 2022, it’s time to tidy up. Inactive profiles can slow down searches and clutter your reports.
Pro Tip: Mark old vendors and customers as inactive so your active lists stay focused and clean.
2. Revisit Recurring Transactions & Rules
Recurring transactions are a great automation tool, unless they’re outdated.
Review your Recurring Templates and cancel anything that no longer fits your workflow. Make sure your Rules are correctly applying to your transactions in the banking center.
Pro Tip: Update amounts and dates on recurring invoices to reflect any recent pricing changes.
3. Categorize and Reconcile
Nothing clutters your data like uncategorized or unreconciled transactions. Take 30 minutes to clean up lingering “Uncategorized Expenses” or mystery income.
Pro Tip: Reconcile each bank account monthly to ensure your books match your actual cash. Bonus: This makes tax time 10x easier.
